How do we collect information from you?

We obtain information from you when you apply for an advertised vacancy on our website or through an external jobs website. 

What type of information is collected about you?

The personal and sensitive data we collect in order to process your application and contact you includes your name, address, email address and telephone number (and any other information you decide to provide in your CV and covering letter).

The personal and sensitive data we collect to monitor the effectiveness of our diversity statement includes your age, gender, cultural background and disability.

If after submitting your application for a vacancy you are invited to attend an interview at The Royal College of Radiologists we will have to collect information from you that confirms your right to work in the United Kingdom. The personal and sensitive data we collect in order to do this can include your name, nationality, date of birth, gender, place of birth, passport number and national insurance number.

How is your information used?

We may use your information to

  • Process a job application you have made we hold this information for six months after recruiting a candidate to the vacancy.
  • Confirm that you have the right to work in the United Kingdom.

Who has access to your information?

All of your information will be viewed by our Human Resources Department. The hiring Line Manager and interview panel specific to the job role will only have access to the information you provide in your CV and covering letter. We will not share your information with third parties for marketing purposes.

Your rights

You have the right to ask us to provide you with access to and rectification or erasure of your personal data.  Providing you this information is free of charge, but charges may apply for excessive requests.

You have the right to ask us to provide you with the personal data you have provided to us in an electronic format or to ask us to provide it to a third party.

Complaints procedure

Any complaints regarding the method in which we handle your data may be logged by sending an e-mail to  or sending a letter to our registered address for the attention of the Chief Executive.

You have the right to lodge a complaint with the Information Commissioners Officer.

Retention period

We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for applications which will be held on file for six months after the position has closed to allow for any grievances). We will hold your personal information on our systems for as long as is necessary for the specific activity of recruiting for a position.

The information we collect in order to confirm your right to work in the United Kingdom will be kept until a candidate is appointed. If you are unsuccessful in the selection process we will then securely dispose of your data. If you are successful in the selection process and start working for the College the information will be kept on your HR file.
